Assistant, Sales & Marketing Admin Support

Job requirement

Job summary: Provide timely and effective administrative support to the sales and marketing team

Responsibilities:

  • Support sales team for sales admin tasks: sales quotation, sales contracts, sales orders, sales kits, gimmicks/ give aways/samples, product materials for sales, price lists, admin support for business traveling, sales meetings.
  • Follow up with sales team and support for implementation of SFE: customer data, call plan, report tracking.
  • Shipment & stock for sales: prepare necessary materials for product redressing/relabeling: warranty card, sub-label & usage manual in Vietnamese, follow up shipment release for sales and do stock transfer from VISP to Hanoi, Danang warehouses to ensure enough stock for sales demand.
  • Prepare tender documents to submit tenders as required/confirmed by Product Manager/Sales Managers.
  • Coordinate with & support sales & marketing team for implementation of marketing & sales promotion activities including preparation, implementation follow up, attending events and activation programs when needed.
  • Doing payment vouchers to settle expenses & managing day-to-day operating expenditures against operating budgets to ensure efficient usage of resources
  • Make reports as required by direct line supervisor / managers: sales performance, sales & marketing activities, A&P expense, …Do filing for all contracts.
  • Update contents/changes to company regulations, policies and procedures on a periodic basis
  • Work closely with internal departments to gather information and resolve issues affecting sales & marketing administration
  • Other Administration works: stationery, office admin and other admin assigned tasks.

Job requirement

  • Demonstrate strong administrative, organization skills
  • Proven knowledge and experience in sales/admin support.
  • Demonstrate proficiencies in office productivity tools espcially in excel, powerpoint.
  • Demonstrate fluency in local language and fairly in English, both written and spoken.
  • Good communication, high service mind
  • Education: Certificate/diploma in business administration, or equivalent
  • Work experience: at least 1 year of working experience in a similar role
