Job Summary:

In line with our expansion in Vietnam, TTI set up a Communications team in Ho Chi Minh City, which is responsible for raising TTI’s reputation and enhancing our communications with internal and external stakeholders. Therefore, we are seeking a motivated person to assist us in driving new initiatives to build up a robust communication platform in Vietnam. The Event Associate cum Communications Administrator will have an exciting opportunity to be part of the above plan to develop a modern, responsive, and engaging presence through various communication channels that reflect TTI’s unique culture and market preeminence.

The Event Associate cum Communications Administrator plays a key role in supporting the Communications Department through effective planning, coordination, and delivery of events and efficient administrative management. This dual-function role ensures that all communication-driven events are executed smoothly while maintaining organized departmental operations that enable the team to perform at its best. The ideal candidate is proactive, resourceful, solution-focused, detail-oriented, and passionate to thrive in a fast-paced, multinational environment.

Responsibilities:

1. Event Execution and Coordination:

  • Coordinate and execute a range of internal and external events such as training, orientation, workshops, employee engagement campaigns, facility tours, media launches, conferences, exhibitions, stakeholder/townhall meetings, and corporate social responsibility (CSR) activities.
  • Manage event logistics including venue booking, vendor management, catering, transport, guest registration, POSM set up and dismantle, and audio-visual arrangements.
  • Collaborate with the Communications and Branding team members to ensure event materials, branding, and messaging are consistent with the Company’s identity.
  • Prepare and manage event timelines, budgets, and checklists with internal and external stakeholders to ensure smooth execution. Serve as the on-site event coordinator, handling registration, guest assistance, and troubleshooting during events.
  • Collect event data, feedback, and media coverage for post-event evaluation and reporting.

2. Administrative and Departmental Support:

  • Provide day-to-day administrative and operational support to the Communications department.
  • Manage team calendars, coordinate meetings, prepare agendas, and take minutes.
  • Assist in managing departmental budgets, processing invoices, and tracking expenses.
  • Handle procurement requests, vendor contracts, and payment follow-ups.
  • Maintain organized records, contact databases, and department documentation.
  • Coordinate departmental travel, logistics, and leave records when required.
  • Serve as liaison between the Communications Department and internal departments (Finance, HR, Legal, Sourcing, IT, Facilities, etc.).
  • Maintain showroom décor in alignment with Company’s brand identity.
  • Perform ad-hoc duties as requested by the supervisor or team members.

3. Communications Support

  • Support the preparation of event communications such as invitations, social media posts and briefing notes.
  • Assist in maintaining and updating digital platforms, intranet pages, and photo/video archives.
  • Prepare and compile post-event reports, media summaries, and other administrative documentation.
  • Ensure all departmental and event-related communications are consistent, professional, and on-brand.

Yêu cầu công việc

Requirements:                      

  • Bachelor's degree or higher in Communications, Event Management, Business Administration, Marketing, or related disciplines.
  • Minimum 03 years of experience in communications, event coordination, project administration, and/or CSR.
  • Proven track record in managing multiple events and tasks simultaneously.
  • Strong organizational, coordination, and project management skills.
  • Excellent written and verbal communication abilities in English and Vietnamese.
  • Proficiency in MS Office, Google Workspace; familiarity with event management tools, internal paperwork systems for contracts or purchase orders, and knowledge of Social Media Management Tools would be an advantage.
  • Excellent interpersonal and communication skills to build relationships with stakeholders, vendors, and team members.
  • Ability to work independently, handle confidential information, and adapt to fast-paced environments while showing strong team-oriented attitude.
  • Ability to travel to varied working locations, periodically work flexible hours, including evenings or weekends for events (transportation provided).
  • Passionate about learning the industry and the company's products.
