Job Summary:
We are a leading plastic manufacturing company operating under Export Processing Enterprise (EPE) regulations, supplying both domestic and international markets. To support our continued growth and commitment to operational excellence, we are seeking a highly organized and detail-oriented Assistant Supply Chain Manager.
This role is responsible for supporting the Supply Chain Manager in overseeing the coordination, reporting, and operational follow-up across the Planning, Logistics, and Warehouse functions. While the direct operational ownership lies with the respective Officers, the Assistant Supply Chain Manager ensures that activities are aligned, issues are escalated timely, and data is properly consolidated for management decision-making.
Candidates must have hands-on experience in supply chain activities within an EPE factory environment, a strong understanding of compliance requirements, and excellent coordination and reporting skills.
Key Responsibilities:
1) Planning Support
- Assist the Planning team in consolidating production schedules, raw material requirements, and order fulfillment status.
- Track daily, weekly, and monthly production performance against the approved plan; identify and escalate deviations.
- Support the preparation of Material Requirement Planning (MRP) reports based on customer orders, forecasts, and material inventory.
- Follow up with the Production, Sales, Procurement, and Warehouse teams to ensure material availability for planned production.
- Coordinate plan adjustments in case of raw material delays, machine breakdowns, or urgent customer orders.
- Assist in production planning reporting, including Plan vs. Actual, production capacity utilization, and production backlog analysis.
2) Logistics Support
- Work closely with the Logistics team to monitor inbound material arrivals, outbound finished goods shipments, and delivery timelines.
- Support in preparing logistics documentation such as commercial invoices, packing lists, shipping instructions, and certificates of origin.
- Track and report on logistics performance indicators: On-Time Delivery (OTD), lead times, freight costs, and shipment damages.
- Follow up with freight forwarders, customs brokers, and internal teams to ensure smooth import-export operations.
- Assist in customs clearance coordination to ensure full compliance with EPE regulations.
- Support cost control initiatives by tracking logistics expenses and proposing improvement actions.
3) Warehouse Coordination Support
- Support the Warehouse team in tracking inventory movements for raw materials, WIP, and finished goods.
- Assist in reconciling stock data between ERP systems and physical stock reports.
- Coordinate and follow up on monthly cycle counts, annual stock takes, and inventory audits.
- Monitor warehouse KPIs including inventory accuracy, warehouse utilization rates, inbound and outbound productivity.
- Support initiatives for warehouse layout optimization, FIFO practices, and safety compliance.
- Ensure warehouse operations comply with EPE-specific customs requirements, including proper material segregation and traceability.
4) Cross-Functional Coordination
- Act as a central coordinator across Planning, Logistics, Warehouse, Procurement, Sales, and QA teams to ensure operational alignment.
- Follow up on action items arising from daily or weekly meetings and update progress to the Supply Chain Manager.
- Help communicate priorities, escalate bottlenecks, and assist in resolving interdepartmental issues quickly and efficiently.
- Maintain updated trackers for open actions, improvement initiatives, and cross-functional projects.
5) Reporting, Data Management & Analysis
- Prepare comprehensive supply chain reports covering production planning, logistics status, warehouse inventory, and customs compliance.
- Develop and maintain dashboards for key metrics: production plan achievement, shipment on-time rate, stock accuracy, lead times.
- Support monthly business reviews (MBR) and quarterly business reviews (QBR) by compiling data and performance analysis.
- Analyze operational trends, identify gaps, and provide recommendations for process improvements.
- Assist in the digitalization and automation of supply chain reporting where applicable.
6) EPE Compliance Support
- Support the Import-Export and Warehouse teams in maintaining full compliance with customs regulations applicable to EPE factories.
- Assist in preparing customs reconciliation reports, liquidation reports, and documentation for customs audits and inspections.
- Monitor and update records required by customs, such as raw material balances, finished goods balances, and production scrap reporting.
- Ensure that inventory movements are recorded in accordance with customs and EPE guidelines to prevent penalties or operational disruptions.
7) Process Improvement & Project Support
- Participate in supply chain process improvement initiatives targeting better efficiency, cost reduction, and compliance enhancement.
- Support ERP system improvements and standard operating procedure (SOP) updates.
- Assist in the rollout of new projects related to supply chain digitalization, warehouse management, and logistics optimization.
