Get to know the Role:
Provides comprehensive administrative and secretarial support to the Department Head and members of the department. Your role includes extensive calendar management, including schedule planning and arrangement of events.
The day-to-day activities:
- Execute and supervise administrative aspects of office and staff management
- Plan and coordinate meeting schedules and manage HOD’s calendar
- Liaise with external stakeholders
- Arrange and coordinate travel plans and associated bookings, visas, etc. as required
- Prepare and edit correspondence, reports and presentations
- Prepare and submit expense claims and monitoring reimbursable expenses
- Assist in the maintenance of confidential records
- Other ad-hoc projects as assigned by the management
The must haves:
- Min. 3 years of experience (with proven track record of success) in supporting C-suite executives and managing their offices
- Good “can do” attitude, meticulous, excellent prioritisation skills, multitasking abilities and takes pride and initiative in her/ his work
- High level of discretion, strong sense of accountability, self-motivated, good sense of business/ cultural priorities and nuances
- Fluent in written and spoken English Proficient in Microsoft Office and creating presentations
- Presentable and well-groomed
- Strong organization and time management skills
- Ability to handle ambiguity, cross functional collaborations and navigate complex matrix environment
- Ability to adapt and thrive in fast-pace, challenging and dynamic environment
- Ability to work closely with all levels of management and staff, and a strong team player
