Get to know the Role:

Provide comprehensive administrative and project support to the CTO. The role includes extensive calendar management, including schedule planning and arrangement of events, and coordinating with all other executives of the company in a dynamic and fast-paced environment. In addition, the role includes ideating projects in culture, morale, and group improvement, as you and the CTO create and decide. Long-running projects such as inter-org communication improvement, technical talk series, blog post coordination, etc, are all open to the interested candidate. Regardless of which project areas are chosen as areas of passion, the successful candidate will have an innate desire to wring order from chaos, be able to speak confidently, firmly, respectfully, and politely with the voice of the CTO where necessary, and be able to professionally represent an org of 1000+ employees across many disciplines.

The day-to-day activities:

  • Execute and supervise administrative aspects of office and staff management
  • Plan and coordinate meeting schedules and manage CTO’s calendar
  • Liaise with external stakeholders (both in-company and executives across the tech industry)
  • Prioritize and make schedule and timing decisions for the CTO independently once aligned
  • Follow up on projects and programs as necessary
  • Identify, ideate and execute projects to enhance group culture, morale, and efficiency.

The must haves:

  • Min. 5 years of experience (with proven track record of success) in supporting C-suite executives and managing their offices
  • Good “can do” attitude, meticulous, excellent prioritisation skills, multitasking abilities and takes pride and initiative in her/his work
  • High level of discretion, strong sense of accountability, self-motivated, good sense of business/ cultural priorities and nuances
  • Fluent in written and spoken English
  • Desire to move into a position of more personal responsibility and impact over time
  • Presentable and well-groomed
  • Strong organization and time management skills
  • Ability to handle ambiguity, cross functional collaborations and navigate complex matrix environment
  • Ability to adapt and thrive in fast-pace, challenging and dynamic environment. Able to bring calm to stressful or time-sensitive situations
  • Ability to work closely with all levels of management and staff, and a strong team player
  • Ability to speak and write concisely, precisely, and politely to move projects and decisions ahead, independently where possible
  • Judgement to know when and how to escalate issues productively both within the CTO office and across the company
