Get to know the Role:

Provide comprehensive administrative and project support to the CTO. The role includes both extensive time management (schedule and planning of CTO calendar and events), and coordinating schedules with all other executives of the company in a dynamic and fast-paced environment. In addition, the role includes defining and executing projects in culture, morale, and group improvement, as you and the CTO decide. Long-running projects such as inter-org communication improvement, technical talk series, hiring process improvement, blog post coordination, etc, are all open to the interested candidate. Regardless of which project areas are chosen as areas of passion, the successful candidate will have an innate desire to bring order from chaos, prioritize and focus both the org and the time of the CTO, and be able to speak and write confidently, firmly, respectfully, and politely with the voice of the CTO. The role is to be a partner in the management and leadership of an org of 1000+ employees across many disciplines.

The day-to-day activities:

  • Execute and supervise administrative aspects of office and staff management
  • Plan and coordinate meeting schedules and manage CTO’s calendar
  • Coordinate important regular events for entire org - employee calibrations, off-sites, etc
  • Liaise with stakeholders (both internal and external)
  • Prioritize and make schedule and timing decisions for the CTO independently once aligned
  • Follow up on projects and programs as necessary both for yourself and for the CTO
  • Identify, define, and execute projects to enhance group culture, morale, hiring, and efficiency

The must haves:

  • Min. 5 years of experience (with proven track record of success) in supporting C-suite executives and managing their offices
  • Positive attitude at all times, when things are tough or going well
  • Meticulous in detail, excellent prioritisation skills, multitasking abilities and takes pride and initiative in her/his work
  • High level of discretion, strong sense of accountability, self-motivated, good sense of business/cultural priorities and nuances
  • Fluent in written and spoken English
  • Desire to move into a position of more personal responsibility and impact over time
  • Strong organization and time management skills
  • Ability to handle ambiguity, cross functional collaborations and navigate complex matrix environment
  • Ability to adapt and thrive in fast-pace, challenging and dynamic environment. Able to bring calm to stressful or time-sensitive situations
  • Ability to work closely with all levels of management and staff, and a strong team player
  • Ability to speak and write concisely, precisely, and politely to move projects and decisions ahead, independently of the CTO wherever appropriate
  • Judgement to know when and how to escalate issues productively both within the CTO office and across the company
