Job Description

Job Purpose : Manages distribution product for the Branch. The Supervisor - Distribution Service seeks new distribution services opportunities and cooperates with sales to turn new opportunities into profitable business. This position has the following major components but not limited to: Sales activities, Preparing Scope & Rates, Preparing and implementation of the SOP., Customer retention, Operational, training and other activities, Provide necessary information to accounting to produce monthly client P&L, Analyze client P&L and send to Geo product Director monthly as per OPS.

Responsibilities:

Budget: Expected to prepare a yearly budget that increases and challenges their
revenues over the current year. This increase need not necessarily satisfy
corporate objectives, but rather indicate healthy progress in the department
and have profitability as its goal. Of course, a genuine effort to achieve it
is expected as well.

Credit and Collection: Expected to follow the credit and collection policy of the company. This
means extending the effort towards protecting the Company before extending
credit by obtaining credit agreements, getting approved credit limits, and then
keeping clients within them as well as routinely calling and collecting funds
on past dues.

Strategy: Designs a local support structure to meet agreed strategy and goals, Gains agreement from District Manager-Regional Distribution Services for annual Strategy and Business Plan; Establishes operational procedures for all warehousing/distribution activities; Oversees all requests for warehouse equipment repairs/purchases

Sales: Have a comprehensive sales program that involves, proportionately, each person (including themselves) within the department to secure and maintain new customers. The program should hold them accountable for their results and meet the corporate objectives. Presents product and attract potential customer attention. Makes 5 sales calls per week to potential Distribution Services clients and record them into CRM. Submits Sales and Activities Report indicating sales calls planned and executed significant distribution activity during past week and plan for the next week to the Distribution Services Regional Director. Creates a comprehensive sales program to secure and maintain new customers. Identifies needs and sells detailed and tailored services that provide value-added services to potential clients. Provides Scope and Rates. Follows the credit policy of the company.

Implement New Business: Works with the District Manager to help make hiring decision on all distribution/warehouse personnel. Creates a Standard Operating Procedure (SOP). Develops a local supplier/vendor base to ensure flexibility in service offerings. Submits all quotations for new distribution services accounts in draft Scope & Rates form along with pricing template to Geography Director prior to mailing the Scope & Rates to the client. Prepares and presents the Scope & Rates with terms and conditions onreverse side in person to the client when practical prior to receiving freight.

Operations: Be literate in all aspects of Expeditors’ businesses and operations including accounting, and the functions of Expeditors computer systems and, in weak areas, endeavors to improve upon them constantly. Be able to use the EDMS system at full and be able to demonstrate Expo. Reviews records/reports for accuracy of information and compliance with established procedures. Reviews records/reports to determine reasons for discrepancies between inventory and stock control records
and recommends remedial actions to resolve discrepancies. Responsible for overall Distribution warehouse safety within the branch along side other managers responsible for the branch warehouse, safety must be the responsibility of all but Distribution Services can assist
with good practices.
Implements vendor agreements with third party distribution centers as per OPS policy.

Customer Retention: Continually maintains a professional and courteous relationship with all customers. Focus on customer service, sales and retention. Makes retention calls and records them into TeamSell. Creates tailored Quality Management Review for every customer in order to measure satisfaction. Handles customer complaints in order to identify and take corrective actions. Measures and improves profitability of the customer using a distribution and customer P&L.

Management: Completes distribution reporting for the branch, including Weekly sales report and
Customer Profitability. Works on department budget and accounting. Determines work procedures, prepares work schedules, and expedites workflow. Supervisory / management responsibilities for distribution office and warehouse personnel. Issues written and oral instructions. Assigns duties and examines work for exactness, neatness, and conformance to policies and procedures. Evaluates employee performance. Distribution Supervisor  are expected to deal fairly, but firmly with all of our people, all of the time. It is expected that Distribution supervisor  be “obsessed” with the fundamental details of running the business. It is being concerned about the “basics” of the  operation, and being consumed towards making them consistently correct, that our highest goals will be achieved.


Training: The Distribution Supervisor is expected to address the training needs of the individuals (temps / EI employees) within the department which includes fulfilling their personal growth goals as well as those of the Company. This training would adequately and suitably address all of the basic
and fundamental issues of running the department, retaining customers, and eliminating errors. It would also provide a program for the training of one’s own replacement.


Training Course Requirements for Distribution Head:

  • Attend
    the “E.dms Level 1” and “E.dms Level 2” training.

  • Attend
    the “Distribution Services Manager Certification Training.”

  • Attend
    3PL selection training course (usually tagged after DS cert course)

  • Attend
    the “Facilitation Course.”

  • Attend
    the “Assessing Employee Performance Course.”


Qualifications

Minimum Education & Experience:

University degree or equivalent qualifications. Minimum 4 years related
to
forwarding industry or in Distribution Service. Proven leadership attitude and background. Ability to define, develop, and document business processes and procedures. Effective interpersonal skills. Ability to
relate to customers and internal employees at all levels. Computer skills
