Daily Responsibilities & Scheduled Tasks (Weekly/Monthly/Semesterly):
• Inspect classrooms and college facilities before and after classes/training sessions.
• Monitor class schedules and prepare teaching materials for designated classrooms and training areas.
• Document class activities and college events via photo and video, uploading them to the college media drive. Coordinate with marketing to promote activities on social media, newsletters, and campus boards
• Assist the Academic Affairs team in maintaining student attendance records.
• Perform monthly inventory of college facilities, equipment, first aid kits, and grooming supplies.
• Collect and compile student records, including health insurance, dormitory registration, and tuition installment requests.
• Complete and update the Student Affairs Daily Checklist.
Student Interaction:
• Conduct daily checks on students’ grooming standards.
• Support lecturers/trainers in facilitating class and training sessions.
• Assist students with the borrowing and return of hotel operation uniforms.
• Conduct student feedback surveys after each module, events
• Communicate weekly class schedules and important announcements to students.
• Provide assistance with health insurance concerns and student inquiries.
• Maintain communication with alumni and assist with their ongoing concerns.
• Lead and organize the college events and activities for the students. (e.g., orientation, cultural festivals, career fairs, competitions).
• Coordinate with the HR to support student preparation for hospitality placements.
• Create annual and semester-based activity calendars.
Coordination with Other Departments/External Parties:
• Liaise with the Accounting Department to prepare and distribute lunch tickets.
• Coordinate with Dormitory staff regarding student accommodation concerns.
• Work with the health insurance company to understand student regulations and submit required documents.
• Source and coordinate with suppliers for college event needs and prepare budget quotations.
Reporting & Communication:
• Report student, alumni, or parental concerns to the Student Affairs Manager.
• Document and report any student-related incidents.
• Submit health insurance memos and important updates to the Student Affairs Manager.
• Inform the SA Manager of announcements or updates issued in Vietnamese.
• Support other departments as needed, ensuring all activities are communicated to the Student Affairs Manager.
• Bachelor’s degree in any field. (A degree in Education and Hospitality is an advantage)
• Experience in student services, events or administrative support is an advantage.
• Excellent organizational, interpersonal, and time-management skills.
• Energetic and proactive personality with a positive, student-centered attitude; experience in organizing or supporting events is a strong advantage
• Minimum of 2 years of work experience, preferably in the education or hospitality industry
• Flexible and adaptable schedule; willing to support occasional weekend or off-hour activities when needed
• Willing to relocate to Vung Tau City (VT) and be based on-site
• Proficient in basic computer applications (e.g., Microsoft Office, Google Workspace)
• Strong communication skills in both English and Vietnamese, written and spoken
• Experience in administrative tasks, including data management, documentation, and coordination
• Able to work well under pressure and manage multiple responsibilities effectively
