Experience:
Responsible for coordinating, organizing, and supervising all administrative and logistical activities at the Contact Center. The goal is to ensure a stable working environment, sufficient equipment, compliance with internal procedures, and effective support for the call center's operations.
MAIN RESPONSIBILITIES:
1. Administrative Management:
Ensure facilities, seating, and equipment (PCs, headsets, network, IP phones, printers, etc.) are always ready for call center staff
Coordinate with the IT and technical departments to set up, maintain, and repair end-user equipment.
Manage the issuance and retrieval of assets and tools when staff join, leave, or change positions.
2. Personnel and Shift Coordination Support:
Monitor staff attendance at the beginning and end of shifts, and help record personnel status (absent, on leave, shift change).
Coordinate with Workforce/Scheduler to ensure accurate input data for shift planning.
Control related forms and documents: leave applications, shift change requests, administrative incident reports.
3. Logistics and Facility Management:
Act as a liaison for receiving and communicating information related to electricity, water, air conditioning, meeting rooms, and floor activities among relevant parties.
Propose equipment maintenance and replacement when necessary to ensure uninterrupted operations.
4. Event Organization and Internal Communication:
Support the organization of internal programs for employees: birthdays, awards, team-building activities, etc..
Coordinate with the HR/Communications department to convey administrative announcements, regulations, and operational guidelines.
5. Stationery Tracking:
Propose other items if needed.
6. Reporting:
Prepare periodic administrative reports on incidents, SLA processing, etc..
JOB REQUIREMENTS:
Education: College/University degree in Administration, Office Management, Human Resources Management, or a related field.
Experience:
At least 3 years of experience in administration, with a minimum of 1 year in a Contact Center environment or similar (call center, BPO, etc.).
Experience in coordinating an administrative team or implementing asset/operations management systems is a plus.
Skills:
Strong organizational, time management, and problem-solving skills.
Proficient in MS Office (Word, Excel, Outlook).
Priority is given to candidates who know how to use asset and task management software (Trello, Jira, Notion, etc.).
