  • Get acquainted with the government, fire and police agencies; security consultants and security agency officers; hotel legal counsels; professional associations and any counter parts in nearby establishments.
  • Responsible for the protection of hotel guests, staff, assets (tangible and intangible) and other resources by developing and maintaining an organization that is responsive to the current, continuing and immediately foreseeable security, safety and health/hygiene requirements of the hotel.
  • Design and imply a comprehensive security programme consistent with identified risks.
  • Ensure an orderly and uninterrupted work environment.
  • Function as an asset protection advisor to hotel management.

 

  • Ensure that hotel operates strictly within legal and ethical parameters.
  • Comply strictly to the hotel codes of conduct.
  • Adhere to and promotes the provisions outlined in the associates’ handbook and hotel code of ethics.
  • Model the guiding principles one to eight; practices and promotes the guiding principles in the day-to-day operation.
  • Safeguard all information relating to hotel, guests and corporate.
  • Environmental care by re-using, recycling or selling waste; conserves water and energy at all available opportunities and maintain clean surroundings of all hotel areas.
  • Set high standards of professionalism; conduct and behaviour by acting as the perfect role model.
  • Responsible for the risk management programme to anticipate, recognise, identify, plan and reduce to manageable proportions all security, safety and health risks, threats and hazards.
  • To conduct continuing vulnerability assessments, identifying all risks affecting the hotel.
  • To recommend RM/GM proportionate counter measures to minimise/eliminate risks.
  • Continuous monitoring of critical areas.
  • Observe and maintains hotel audit standards,
  • Designs and implements security plans, policies and procedures by regular reviews and updating of existing policies and procedures.
  • Study the security and safety situation and recommends appropriate policies and procedures as well as updating existing ones.
  • Continually study and recommend upgrading of the hotel security and safety systems.
  • Develop and maintain standard operation procedures (SOP.)

 

  • Responsible for hiring security associates; fill up vacancies due to resignation or termination.
  • Coordinate with HRD re the sourcing of associates.
  • Interview and check background of applicants.
  • Give final recommendations for hiring of associates.
  • Ensure effective posting of contracted security, maintain good working relationship with contract security management and associates.
  • Determine critical posts to be manned and assign associates accordingly.
  • Develop and update post duties and instructions.
  • Monitor performance of contracted security associate; note deficiencies and carry out remedial measures.
  • Provide continue guidance to all contracted security manpower.
  • Regularly meet with security agency key officers.
  • Write reports or memorandums, etc.
  • Ensure timely preparation of all reports/documents
  • Timely dissemination of parties, departments, etc.
  • Systematic filing of all reports and department record.
  • Record management to ensure systematic record keeping (e.g. maintenance records; work orders; contractor registration, etc.)
  • Attend meetings and prepare accurate documentation of minutes.
  • Attend all necessary meetings (e.g. daily morning briefings; SSM; safety committee; performance management meetings, etc.)
  • Ensure all necessary internal department meetings are conducted such as, dialogue and operational meetings.

 

  • Determine training requirements and conduct appropriate courses and seminars.
  • Conduct training needs analysis and direct the department trainer in preparing an annual training plan. Prepares training modules/ lesson plans.
  • Ensure daily training of minimum.
  • Ensure continuing training and development of all associates.
  • Oversee and implement of training plan.
  • Coordinate with the HRD for anticipation of selected associates in sponsored training.
  • Succession planning through training and coaching of associates demonstrating suitable potential for promotion.
  • Arrange for the participation of selected associates in external courses and seminars.
  • Develop and deliver periodic security awareness training to other departments.
  • Conduct annual/mid-annual appraisals (PDR) for associates in accordance with HR guidelines.
  • Anticipate and plan for various emergency situations.
  • Review/adapt hotel security policies (fire, earthquakes, bomb threat, civil disorders, etc.)
  • Emergency response team (ERT)
  • Define organisation and function of the CMT and ERT; set-up a continuing training program and simulation exercises for the members.
  • Crisis management team (CMT) and training.
  • Ensure that all security associates trained in fire hazards.
  • Conduct regular safety system tests and practices fire drills; evacuation drills; bomb threat drills, etc.
  • Conduct critiques and updates plan.

 

 

  • Respond to various emergency situations as appropriate.
  • Direct and supervise ERT response to various crisis situations.
  • Ensure CMT notified and gathered when required.
  • Ensure that the appropriate government agencies are promptly informed when required.
  • Responsible for hotel occupational safety to support the HR in developing and driving the hotel occupational safety program.
  • Responsible for food safety and hygiene, to support the F&B department and implementation of hygiene policy and procedures.
  • Maintenance of order
  • Ensure hotel operations continue without disruptions.
  • Strategically controls and deploys security associates to cover all critical areas.
  • Continuous monitoring of hotel activities and developments; ensuring prompt responses to abnormalities, suspicious situations and disorder.
  • Access control; prevent unauthorised, unlawful or unwelcomed access into the hotel or within restricted areas within hotel.
  • Ensure effective check points/ security postings positioned at each access point into the building (associates entrance and lobby, etc.)
  • Ensure thorough visitor vetting and registration system in place at check points.
  • Implementation of visitor identification system, to issue/ wearing of colour coded permits in restricted zones (denoted by colour.)
  • Crime detection or prevention
  • Ensure adequate CCTV coverage of all critical areas.
  • Panic alarms, hold-up alarms, fire exit door alarms, etc. installed at appropriate and vulnerable points.

 

  • Effective and visible security patrolling.
  • Conduct exit bag/parcel searches of contractors, suppliers, casual associates, etc.
  • Ensure security intercept and challenge unidentified persons found in restricted areas (e.g. people not wearing permits in the back of house.)
  • Security to maintain observations on unattended guest property in lobby, reception, function rooms, etc.
  • Ensure ALL crime incidents/allegations are reported, investigated and documented in a timely fashion.
  • Hotel keys security
  • To develop/enforce an effective policy and procedures governing keys’ secure storage, movements and accountabilities, locks duplication, lockset replacement and master key allocations, etc.
  • External environmental monitoring
  • Keep abreast of security developments in the local and international scent, which have a bearing on the hotel (e.g. terrorism, national/local security threats.)
  • Intelligence gathering/exchange (e.g. compile crime statistics; close liaison with neighbouring hotels, HKHA; local police; CPB; Consultants, etc.)
  • Scene preservation/ scene management
  • Identify scenes of crime, accidents and incidents.
  • Ensure system of scene preservation, restricting entry into and prohibiting interference with items, objects, marks, etc. found within the identified scene boundary.
  • Ensure that evidence from the scene is properly recorded and gathered/obtained in a timely fashion.

 

 

 

 

  • Supervise the conduct of all investigations to a definitive conclusion.
  • Supervise interviews/ interrogation of associates’ suspects, victims and witnesses – ensuring al interactions are conducted ethically, impartially and fairly.
  • Ensure that statements are correctly taken.
  • Ensure that investigations are satisfactorily conducted in a timely fashion.
  • Coordinate with police authorities when necessary and appropriate for criminal allegations/actions, etc.
  • Generate concise/comprehensive incident/accident reports with conclusions (e.g. probable cause) and recommendations for prevention of recurrence.
  • Study loss events, establish possible patterns and trends (e.g. crime trends.)
  • Ensure accurate and complete record keeping and key data collection.
  • Analyse and interpret key statistical data (e.g. crime figures, work injuries, accidents, etc.) and identify developing crime trends, hot spots, etc.
  • Establish effective counter-measures.
  • Formulate theories, analyses and conclusions.
  • Recommend appropriate countermeasures to prevent recurrence and minimise/eliminate further risks.
  • Deliver superior security service for special events and VIP visits (heads of state visits; celebrity functions, etc.)
  • Meet clients or security representatives from corporate/ government/ state organisation, etc. – identify and address special security and safety needs/concerns.
  • Close liaison with police authorities and government bodies.
  • Coordinate of sufficient manpower resources and effective logistical planning of VIP visits.
  • Liaise with other departments to ensure effective collaboration in delivering overall quality service.

 

  • Motivate all security personnel to achieve departmental hotel objectives.
  • Practice open and caring communication, positive reinforcement/ constructive criticism.
  • Recognise associates’ personal achievements.
  • Nurture strong team working culture and team spirit.
  • Organise social and job related activities.
  • Firm and fair management style. Demonstrate responsible situational leadership.

 

  • Maintain monthly dialogue meetings with all security personnel; resolve all welfare problems, working relationship concerns and operational difficulties.
  • Compliment the hotel’s guest service efforts in delivering superior service to all hotel guest, patrons and visitors
  • Incorporate guest service into all elements of the security operation.
  • Proactive support of other departments involving delivery of guest service.
  • Ensure that all policies are guest friendly.
  • Handle guest security and safety complaints in a timely fashion. Initiate immediate corrective action to maintain guest satisfaction.
  • Develop and implement effective strategies to enhance service performance/ service shortfalls.
  • Maximise guest satisfaction through personal contact with guests, cultivating excellent guest relations.
  • Familiarisation with VIPs, regular patrons, etc. and nurture special relations.
  • Ensure a cost effective and efficient operation
  • Conduct frequent departmental expensive reviews to maintain cost effective operation.
  • Control and approve department purchasing/ procurement/ petty cash requirements.

 

  • Establish departmental goals in support of/ in line with hotel’s strategic plan
  • To define annual departmental objectives; focusing on the improvement of the quality of service, associates’ efficiency and improvement.
  • Prepare the security department budget on labour and capital expenditures
  • Identify yearly manpower requirements of the department divided into 12 monthly periods. Submits to HRD for labour cost budgeting.
