Experience:
1. Feasibility & Design Preparation
Visit project sites with the Site Supervisor and Interior Designer.
Collect project requirements and site information, then report to the Project Manager (PM).
Support layout planning and initial budgeting.
Work with the Interior Designer (ID), IT, Marketing, and Business Units (BUs) on layout drawings, 3D designs, and technical systems like M&E (Mechanical & Electrical) and fire safety.
Coordinate with all involved teams to get necessary design approvals.
Keep full records of the project, including drawings, legal documents, budgets, and cost tracking.
2. Tendering & BOQ (Bill of Quantities)
Prepare BOQ for materials, furniture, and equipment with the Site Supervisor.
Estimate project costs during the planning phase.
Check market unit prices to make sure cost estimates are realistic.
Suggest materials and apply value engineering to balance cost and quality.
Process and follow up on PRs (Purchase Requests) and POs (Purchase Orders).
Monitor contract milestones and work with Finance to ensure payments follow contract terms.
3. Project Execution
Monitor the project schedule and collect feedback or issues from BUs.
Help the PM update timelines and report any delays.
Join internal and external meetings, take notes, and follow up on tasks.
Coordinate with vendors to prepare necessary site documents.
Compare vendor reports with the project schedule and report any gaps.
Make sure all project updates and reports are delivered on time.
4. Reporting
Track project costs and timelines from start to finish.
Work closely with Finance to monitor planned vs. actual spending.
At least 3 years of relevant experience in project coordination or a similar role.
Minimum 2 years of experience in a supervisory or team coordination role.
Background in Architecture, Civil Engineering, Interior Design, or Project/Construction Management.
Proficient in English (both spoken and written).
Project Coordination: Good understanding of project stages, timelines, and how to work with different teams.
Construction Knowledge: Familiar with on-site work, M&E systems, fire safety, and interior fit-out processes.
BOQ & Costing: Able to prepare BOQs, estimate costs, and validate prices based on the market.
Document Control: Experienced in organizing project files, reports, budgets, and schedules.
Stakeholder Communication: Able to coordinate well with both internal teams and external vendors/contractors.
Problem Solving: Quick to handle issues and adjust when project plans change.
Communication: Clear and professional in emails, reports, and meetings.
Skilled in MS Office, project tools like MS Project or Planner, and basic AutoCAD.
