Get to know the Role:

  • Ensure an accurate and timely payroll, including base pay, stock compensation, payroll taxes, 401(k), statutory and supplemental benefits, etc
  • Complies with federal, state, and local legal requirements by studying existing and new legislation; anticipating legislation; enforcing adherence to requirements; advising management on needed actions.
  • Partner with our people solutions team to drive process improvement projects in Workday in-order to streamline and automate manual workflows.
  • Partner closely with our internal partners to provide our employees with a first-class onboarding and payroll experience.
  • Policies & Procedures - Maintains management guidelines by preparing, updating, and recommending people operation policies and procedures.

Basic responsibilities:

Payroll -

  • Support US payroll, completing full cycle payroll processing (import/export data files, new hires, terminations, status changes, tax changes, deductions, direct deposits).
  • Payroll processing is completed on a semi-monthly basis through Zenefits and includes special periodic runs (stock, annual bonus run, tax recalculations, etc.).
  • Ensures high level of accuracy of all data processing while providing outstanding customer service to local and remote employees.
  • Complete ad hoc payroll reports and special projects as assigned, and assist with internal and external audits when necessary.
  • Manage payroll-related projects including year-end preparation, maintain payroll documentation, resolve payroll tax issues and support annual audits.

Benefits Administration -

  • Assist employees with enrollment (via Zenefits), help employees understand benefits, help to resolve problems, etc.
  • Assist with annual open enrollment process, obtaining and evaluating benefit contract bids, assessing benefit needs and trends.
  • Direct the processing of benefit claims and roll out new benefits as applicable.

Annual Leave -

  • Administer leave programs – including FMLA/CFRA/PDL

Retirement -

  • Administer 401K plan including testing and compliance

Travel & Expense Management -

  • Administer and maintain travel and expense reporting software, Concur.
  • Become the primary resource for Grabber FAQ’s, Onboarding and trainings.

Regulatory & Compliance –

  • Maintain compliance with federal, state and local employment and benefits laws and regulations.
  • Maintain compliance reporting – ACA, EEO, Workers Comp and others as needed
  • Coordinate with legal counsel on immigration and visa applications

Qualifications:

  • Bachelor’s degree and/or equivalent experience.
  • A minimum of 3 years payroll administration experience, including multi-state.
  • Well-rounded HR experience in multiple areas including payroll, benefits, leaves of absences, onboarding, etc.
  • Broad understanding of HR best practices as well as local, state (i.e., WA, CA, etc.) and Federal employment laws.
  • Sound judgement and problem-solving skills.
  • Customer-focused attitude with high level of professionalism.
  • Excellent communication skills.

Pluses:

  • PHR/SHRM-CP certification is a plus.
  • Experience with Zenefits is a plus.
  • Experience with ADP, Workday is preferred.
  • Experience with Concur expense reporting software is preferred.
