Job summary:

We are seeking an Office Administrator to assit on the daily operation in Vietnam. The job is open for Vietnamese only, based in HCMC.

Job responsibilities:

  • Manage company database and format documents.
  • Monitor inventories of office refreshment, stationary, etc. and order office supplies.
  • Coordinate with related providers for maintenance and repairs to office equipment, light, A/C, etc.
  • Arrange mail delivery with post service providers.
  • Post job ads on company website and other job portals when assigned.
  • Cover reception desk when required, ex. answering phone calls, greeting visitors, organizing meeting rooms, etc.
  • Assist in onboarding preparation: registering entrance card and parking card; ordering welcome cake, business card; taking profile photo, etc.
  • Assist in offboarding procedure: cancelling entrance card, parking card, etc.
  • Perform other admin duties such us filing (HR documents, accounting, TOB, others), typing, scanning, photocopying, binding.
  • Prepare simple periodical reports.
  • Collaborate in annual health check-up arrangement.
  • Support in preparation of birthday celebration, team gathering, year-end party, etc.
  • Keep an eye on and maintain office’s tidiness.
  • Other administrative duties assigned by the supervisor.

Job requirement

  • Bachelor's Degree or equivalent.
  • 1-3 years' experience as an office administrator or relevant role.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks. 
  • Outstanding communication and interpersonal abilities.
  • Proficient in MS Office (Word, Excel, Outlook, Powerpoint)
  • Effective English communication is a must.
