Job requirement

Scope of Position:

To provide administrative and clerical support for the Vice President of Human Resources and the HR Department.

To respond inquiries and problems in an efficient, courteous and professional manner to achieve the highest guest satisfaction while complying with all Groups policies. 

Responsibilities and Accountabilities:

  • Implement and develop recruitment and training process, procedures and policies. 
  • Cooperate with other departments for recruitment planning, training and development programs.
  • Keep the HR's information system and policies up to date.
  •  Build up and update organization chart, job descriptions and staff records.
  •  Manage all open positions, contact employment services, forums to recruit the profiles needed.
  • Manage candidate CV and candidate database, contact candidates, schedule and interview organization.
  • Assists with Expat relocation liaison such as work permit, resident card, business visa and others.
  • Composes and types routine meeting mintues or correspondence.
  • Maintain confidentiality of sensitive materials.
  • Answer and screen incoming telephone calls and arrange conference calls.
  • Coordinates manager’s schedule and sets appointments.
  • Coordinates Executive Leave Planner.
  • Arranges and coordinates Operations transportation and schedule.
  • Coordinates and arranges meetings, prepare agendas, reserves and prepares facilities and records and transcribes minutes of meetings.
  • Organizes and maintains file system, and files correspondence and other records.
  • Order all office supplies.
  • Greets scheduled visitors and directs them to appropriate area or person.
  • Must be able to meet the attendance guidelines of the position and adhere to departmental and company policies.
  • Work harmoniously and professionally with co-workers and supervisors.
  • Oversee facility and equipment in the responsible areas to make sure they are in complete working order.
  • Ensures all activities performed within the department are in accordance with the company’s business objectives, and established safety and security standards.
  • May be required to perform other duties required by HR management.
