Job requirement

1. Compensation & Benefits (C&B)

a. Employee Data: Update employee records in HR database and HRIS accurately and on time.

b. Leave Tracking: Track leave changes via email and summarize them in the internal report format on time.

c. Time management: Track and update the working time of the site team and technical team on time.

d. Overtime (OT): Verify and reconcile OT data; prepare internal summary reports.

e. Labor Documents:

  • Prepare labor contracts, annexes, decision and related labor document as required
  • Collect signatures and maintain both digital and physical employee records.
  • Scan or photograph documents as requested by the BOD, HR Department, or other business units.
  • Support the management of the HR filing and document control system.

f. Service Contracts:

  • Check that the original service received by HR match the monthly data list from F&A
  • Ensure all service contracts are properly scanned and filed in the “Service Contract” folder on SharePoint under “HR admin”

g. Personal Income Tax (PIT): Register and update PIT codes and dependents information.

h. Social, Health, and Unemployment Insurance (SHUI): Prepare and submit the required report on time

  • Labor changes: additions, terminations, adjustments, etc.
  • Subsidies: sickness, maternity, and accident claims, etc.

i. Offboarding: Handle email and file clean-up for departing staff.

j. Expat Admin: Support the management of expat documents (work permits, visas, TRCs) in compliance with regulations.

k. Support internal and external audits.

l. Other tasks as assigned.

2. Other Responsibilities:

a. Support employees with insurance and welfare issues.

b. Coordinate with others on preparation annual health check

c. Support the organization of internal events such as International Women’s Day, Vietnamese Women’s Day, the Year-End Party, Company Trip, etc.

d. Support Internal employer branding and social media activities, including posting internal events or recruitment announcements on LinkedIn, Facebook, etc.

Job requirement

* Requirements:

  • Commit to work full time for at least 3 months
  • Can communicate in English an advantage
  • Good knowledge of labor law, PIT & Social Insurance procedures
  • Strong organizational skills, attention to detail, proactive, follow up & logical thinking
  • Proficient in MS Office (especially Excel) and HR tools (e.g., SharePoint)
