Job requirement

JOB FUNCTION

1. Be responsible for proceeding HR operation including recruitment, training and developement

2. Be responsible for proceeding administrative operation

3. Other task as per managers’ requirements

JOB DESCRIPTION

I. Human Resources operation

1. Recruitment

  • Execute recruitment activities: post job ads, coordinate interviews, communicate with candidates, and prepare offer letters.
  • Maintain candidate database and recruitment reports.
  • Arrange interview schedules and coordinate with candidates and interviewers.
  • Prepare onboarding materials and assist new hires with joining procedures.
  • Update job postings across platforms and internal channels.

2. Training & Development

  • Build and execute training plans and budgets.
  • Coordinate training logistics: booking rooms, preparing materials, sending invitations, and tracking attendance.
  • Maintain training records and feedback forms
  • Follow up on training completion and collect post-training feedback from participants.
  • Update training database and issue certificates when required.
  • Monitor training results and assess how they are applied on the job.
  • Track training effectiveness and evaluate on-the-job application.

3. Others

  • Prepare basic HR reports such as headcount, attendance, and turnover.
  • Assist other annual tasks such as annual health check, employee happiness surveys, team building activity…

II. Administration operation

1. Office & Facility Management

  • Monitor office and workshop facilities to ensure cleanliness, orderliness, and safety.
  • Manage office supplies, uniforms, stationery, and pantry items.
  • Coordinate with vendors for maintenance, repair, and service of office/factory equipment.
  • Supervise the security and cleaning teams; ensure safety and hygiene standards are maintained in the workshop.

2. General Administration

  • Build and execute daily, monthly, and yearly administrative work plans and budgets.
  • Prepare regular (monthly/yearly) and ad-hoc reports required by management, customers, or the group.
  • Develop, implement, and improve internal policies, regulations, and required licenses.
  • Making payments for all the admin task related to workshop operations

3. Government & External Relations

  • Support the preparation and renewal of permits (e.g., Work permit, fire safety, environmental, construction).
  • Maintain and develop good working relationships with government agencies and local authorities.
  • Coordinate submissions and ensure timely follow-up on administrative/legal documentation.

III. Other task as per managers’ requirements
