We are looking for a responsible creative energetic and fun Executive Assistant to VP of Program Mgmt (incl TikiNOW and TikiMEDIA) to help with client meetings, entertainment events, and livening up the office. You will need to act proactively while being trained to become a leader and critical thinker, ready to solve problems before they become obstacles. The goal is to help VP attain objectives of productivity and maximize employee and client satisfaction.

Maximize the productivity of VP Management:

• Schedule and organize meetings, balance calendars, coordinate schedules for Vice President of Programs.
• Take minutes at top-to-op strategic meetings with clients and vendors.
• Provides a bridge for smooth communication between VP and internal departments
• Take minutes, document and share with action items, and owners for each in key meetings
• Completes a broad variety of administrative tasks for VP including : managing an extremely active calendar of appointments; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
• Process contracts & other documents, brief to VP and coordinate with related departments.
• Assist with short reports, presentations and briefs when necessary.
• Organize team-building events on a regular basis
• File and track expenses for team events and client entertainment.
• Coordinate events, dinners, lunches with advertising clients many times a week, attending in person at least weekly.
• Arrange the office space, liven up the space, procure workplace accessories for enhanced work and fun.
• Schedule and create moments of positive chaos at least weekly in the office.
